Some of the Basics


INVENTORY:

Each unit is required to maintain a minimum inventory, which is outlined in the “Required Inventory”, attached hereto in the Property Management Agreement. Upon acceptance of the management contract, the Owner must provide Toccoa Wilderness Realty & Cabin Rental, LLC. with a completely stocked unit according to this inventory.

As needed, to maintain this inventory, during the term of the Management Agreement, Toccoa Wilderness Realty & Cabin Rental, LLC. may provide replacements for the following items and the Owner will be billed accordingly:
* Sheets and Pillowcases
* Towels and Bath Mats
* Keys to the property
* Dishes, Silverware, Glassware and Utensils
* Pot holders, Placemats, and Kitchen Towels
* Light bulbs, Hangers, etc…(and other items that are deemed as necessary by Toccoa Wilderness Realty & Cabin Rental, LLC.
* We recommend that you secure an “owners closet or storage area to lock up your personal items that you do not wish to be available for guest use”

HOUSEKEEPING:
CHECK OUT CLEANING AND LAUNDRY SERVICE AFTER GUESTS:


As stated in Owners “Required Inventory” attached, each property is to contain 2 full sets of linens along with plastic zip containers and a plastic tub container. The container can be provided by Toccoa Wilderness Realty & Cabin Rental, LLC.and is an owner charge that is included in the one time set up fee. This process provides a structure that helps maximize the properties occupancy and availability by allowing a quicker check out and check in process by cleaning staff. Guests will be charged the Cleaning Fee, Owners will be charged for cleaning after Owner Bookings or Owner-Guest Bookings unless other agreed upon arrangements are made. Non paying Owner Guests may pay for cleaning if Owner makes the necessary arrangements with Toccoa Wilderness Realty & Cabin Rental, LLC. Again, Guests pay for the checkout cleaning charge. (Should it ever become necessary, Toccoa Wilderness Realty & Cabin Rental, LLC. will assist owners in effecting repairs and settling insurance claims. Toccoa Wilderness Realty & Cabin Rental, LLC. will obtain repair and replacement bids and submit them to the insurance company). Owners may not book their property to outside guests, a non paying owner guest booking reservation must be made through our office to avoid double bookings and allow us to arrange cleaning and inspect property before next guest arrival. Owner agrees that Toccoa Wilderness Realty & Cabin Rental, LLC. will have sole authority to manage and rent owners property. Owner shall not pay rental nor will be charged rental commission to Toccoa Wilderness Realty & Cabin Rental, LLC. for owner bookings. However, Owner will be responsible for applicable Cleaning and Hot Tub fees. Routine Inspections of the property will be conducted by office staff and maintenance persons. Toccoa Wilderness Realty & Cabin Rental, LLC. will also assist and arrange coordination all maintenance needs for Owner's property.

TELEPHONE:

Owner will provide a touch-tone telephone for the property, as well as a operational phone line; Owner will restrict phone service for local calls only. This restricted phone line will prevent guests from making unauthorized long distance calls. A phone line provides convenience to guests for local information and emergency use should it become necessary

KEYS AND Property Entry:

Owner will provide a combination key pad entry system. We Have Found this to be the best way to go with property entry and provides less Hassel and cost overall. For security purposes the Combinations will be changed periodically by Toccoa Wilderness Realty & Cabin Rental, LLC.. The combination key pad entry system will be provided by the owner and Toccoa Wilderness Realty & Cabin Rental, LLC. Will arrange installation and set up on the owners behalf. The Owner to provide 2 complete sets of keys to Toccoa Wilderness Realty & Cabin Rental, LLC. To keep on file for emergencies.

ACCOUNTING AND BILLING

* Owners will receive monthly statements on or before the 10th of each month.
* Owners will receive year-end summary of Rental income and expenses.
* Owners checks are mailed along with the owners statement on or before the 10th day of each month.

OWNERS WILL BE FINANCIALLY RESPONSIBLE FOR THE FOLLOWING:

1. All utility payments:
a. Electricity
b. Gas
c. Water & Sewer
d. Telephone
e. Satellite / Cable T.V.

2. Inventory Replacements:
a. All appliances.
b. Fire Extinguisher.
c. BBQ & BBQ Tools.
d. Iron & Ironing Board.
e. Pillows & Blankets.
f. Mattress Covers.
g. Linens, Comforters and Bedspreads.
h. any other item as deemed necessary for rental by Toccoa Wilderness Realty & Cabin Rental, LLC.

3. Supplies:
All Required Inventory as stated on Required Inventory List

4. Repairs.
Any repairs as deemed necessary for rental by Toccoa Wilderness Realty & Cabin Rental, LLC.

5. Hot Tub and Sauna Maintenance.
a. Owners to supply all hot tub chemicals and cleaners
b. Owners to determine whether they secure a yearly hot tub maintenance contract as recommended by Toccoa Wilderness Realty & Cabin Rental, LLC.

6. All Maintenance and Repair Cost on Property.

7. Damage and Theft to Property.

8. Property Cleaning:
Guests pay for Cleaning under “Normal paying guest circumstances”. An Initial Cleaning is done at Owners Expence before booking guests.

b. Owner is responsible for making arrangements for cleaning with Toccoa Wilderness Realty & Cabin Rental, LLC.

9. Additional-Marketing:
a. Owner to allow Toccoa Wilderness Realty & Cabin Rental, LLC. To place property on various websites and advertisement methods. In an effort to maximize rentals, Owner may elect as recommended, to place their property on VRBO.com at Owners Expense and have contact information and management of that site be Toccoa Wilderness Realty & Cabin Rental, LLC.

b. Toccoa Wilderness Realty & Cabin Rental, LLC. Reservationists have the authority to discount rates up to 20% based on demand in order to maximize rentals for property owners. We also offer repeat and referral program / discounts up to 20% and free night promotions to maximize rentals for property owners

For all accommodations Toccoa Wilderness Realty & Cabin Rental, LLC. reserves the right to purchase all needed items to maintain a complete inventory, or to make any necessary repairs which are under the agreed upon amount of $300.00 at the Owner's expense.
